Our three step implementation methodology
Collecting all property data in one place is a big step and implementing a new property system is an equally big one. Drawings, assets, contracts/lease, energy, cleaning and case management are often scattered across different systems and with different people. The question is not just which system you choose, but how you get there without losing control along the way. Our implementation model is there for just that. It divides the implementation into three clear phases so you know what is happening, when it is happening and who is responsible. We have experience of over 100 implementations for municipalities, industries, regional/government authorities and universities that we have worked with over the past 20 years.
Why do you need a project implementation methodology
A property system affects many roles at the same time: operations, finance, IT, purchasing and sustainability. Without a common plan, it is easy to have parallel tracks, unclear decisions and data that is never complete. We therefore work with a model that makes every step visible and decidable. You get a holistic view from the start, and we build your master data piece by piece – so that you own it and can trust it. You have a dedicated project manager who guides you through the entire implementation.
Phase 1 - Prepare
The first phase lays the foundation. Here, we decide together what the project will deliver and how the work will be done.
- We complete and decide on the delivery documents
- We develop an implementation plan and establish project formalities
- We create a task list
- We develop a training plan and establish a test plan
- We analyze the project's risks before we start.
The result is a shared map. Everyone knows what needs to be done, in what order, and what is required to move forward.
Phase 2 - Implement
In the implementation phase, the system is really built. We work in sub-phases by data domain, so that each part is complete and quality assured before the next one begins.
- Subphase 1 lays the foundation in property data
- Subphase 2 switches on daily operations
- Subphase 3 includes the planned work
- Subphase 4 any additions
Throughout the entire phase, the same recurring activities run: we register and import data, draw the graphic models that make the information visual, train the project members, conduct acceptance tests and deploy. In this way, the digital twin grows step by step, and you see the benefits already during the project.
Phase 3 - Finalize
The final phase ensures that the system lives on in everyday life, not just in the project.
- We train end users so they can work independently
- You approve the project delivery
- We complete a project completion report and share project experiences
- We hand over to operations
This is where the project transitions into daily operations. The knowledge stays with you, and the system becomes a natural part of how you manage the properties.
Clear handover to operations
Once the implementation is approved and operational, you will be introduced to our support organization and given a login to our customer portal where you will find product and operational information, tutorials and where you can also submit your support requests. You will be assigned a Customer Success representative who will call a meeting with you 2-4 times per year to follow up on your progress and who will be your dedicated contact within Pythagoras.
3-6 months after you have gone live, the project manager will also call a project follow-up meeting to address any issues from the completed project.
