If your organisation uses the technical management and cleaning management modules in the Pythagoras property management system, you will find the corresponding fieldwork modules as mobile apps. As an example, cleaning staff can receive schedules and job descriptions directly on their mobile phones, while operations technicians receive a clear list of the day’s tasks and rounds, sorted by priority. As in the Pythagoras property system, the app is based on digital twins mirroring the drawings of your properties, which makes it easy to understand and carry out tasks more quickly.
The planning is handled in the property management system. The system owner decides who should have access to the app and what they should be able to see and do. When tasks are ticked off in the app, the information is instantly updated into the property management system, where the administrator can follow, in real time, who did what, when, how much time it took and if there were any problems. This allows planning to be more optimized, budgets to be more accurate, communication with end customers better and invoicing easier.
Another big advantage is that it enables your field staff can to immediately report problems or deviations, and increase satisfaction and well-being. Depending on your preferences, a cleaner who discovers a leaking dishwasher could, for example, create the incident report in the app and thereby instantly send a notification to the facility manager´s mobile phone.
Cleaning
With the Cleaning app, cleaning staff have access to individual schedules and instructions, colour-coded on drawings of the property floors. It makes it easy for them to report discrepancies with photos or comments, simplifying for the administrator to maintain a high-quality on the delivery. We have designed this app to work even when the user does not speak Swedish or English.
Cases
In the Cases app, facility managers see a list of their prioritized cases for the day. They can sort their cases by different parameters such as building or case type to work more efficiently. Notifications of new requests can also save time. If a facility manager is nearby when he or she gets notified in the mobile app and doesn’t need to visit the office to check on new tickets, the workday will run more smoothly.
Energy
It’s time to get away from paper and pencil! With the app Energy and a smartphone or tablet in hand, the property manager checks the meter readings for consumption of electricity, water, carbon dioxide or whatever you choose to measure, and records or confirms the data directly in the app. The information immediately updated into the property system and adjusts the outcome of your reporting. The activity also provides information that shows how often the work has been carried out and by whom.
Preventive maintenance
In the app Preventive maintenance, operational staff can access their lists for inspection rounds with all the necessary information. The app also allows them to tick off tasks as completed, giving the administrator in the property management system an overview of whether the request is solved, how long it took and when it was done. If someone falls ill, it’s easy to pass tasks on to a colleague or reschedule.
Inspections
This app is used for various types of self-inspections, but perhaps especially for cleaning inspections, official inspections and systematic fire protection (SBA). With the help of digital drawings and checklists, it is easy, even for a contractor, to find the right components in the building, check them according to your descriptions and mark as clear or make a remark. A camera function makes it possible documenting the issue with a photo directly related to the component, which makes it clear for the administrator to act on in the property management system. The reporting also provides a records of how often the work was carried out and by whom.
