Scania complements its global property system – and gains control of drawings and components across 750 buildings

Scania runs its properties in the global property system, built for commercial landlords. A system like that has to work the same way in every country, which makes it hard to adapt to how a single workshop or warehouse actually operates. As Ferdinand Berglund, Facility Manager at Scania, puts it: local solutions are almost always easier to work with than global ones.

Unclear process and personal dependencies

Before Scania had a clear process in place, drawings and component lists went through Ferdinand personally. Local users would email him, and he would pass the information on – and it was hard to keep up to date. Assets and equipment are replaced continuously in a workshop, but the update in the systems does not always keep pace. Scania also still kept its own Excel lists to check that the number of components in the global property system actually matched reality.


Complement of models and assets locally

Pythagoras is not used to replace the global system, but to: manage drawings and components simply, locally and with the right groundwork. Scania has built Pythagoras into the first step of its data flow – drawings are added, rooms and areas are identified, components are registered according to Scania’s own coding standard, and the information is then fed into the global property system through a fixed routine using Excel templates.

Last year also saw a clearer process introduced, with single sign-on (SSO): local users now email Pythagoras models and support according to a fixed routine, instead of sending everything through one person. The information is added to Scania’s structure in Pythagoras, and from there drawings, components and related data can be managed further.


The result: standardized process and no individual dependencies

The result gives Scania control and visibility over multiple things:

  • A shared source for drawings and components, instead of scattered emails and local variants.
  • A process that does not depend on a single person to keep the information up to date.
  • A basis Scania can use to check that the number of components in the global system actually matches, country by country.
  • A foundation to build on: Scania has now also signed an agreement to add leased buildings to Pythagoras, on top of the 348 owned ones – a step towards a more complete picture of the entire property portfolio.

Next step: reducing carbon emissions


Scania aims to halve its carbon emissions by 2032, and property accounts for a significant share of the company’s climate footprint. Today, energy consumption is measured in separate systems for the owned properties. The goal is a combined view of both owned and leased buildings – energy per square metre, across the whole portfolio, at the same time.
