The drawing is out of date
Imagine your colleague calls from a building and cannot find the right room where a service issue has been reported. He is stressed because he cannot find the right room, and he has many more tasks to solve throughout the day. Many people today work with manual room lists, not that user-friendly as the naming can be technical but not indicative of where in the building the room is located.
You access the drawing in the facility management system to search for the room your colleague is asking for, however you immediately see that the information is out of date, as the building was renovated a few months ago but the drawing has not been updated accordingly. So, you are not able to help your colleague as both your property register, and the drawing need to be updated with the remodeling.
Communication difficulties
Sometimes you also need to be able to communicate with people who do not work in your property system, such as contractors and tenants. They need different information depending on what they are expected to do in the building. It might be a fire safety inspection to check that all fire extinguishers and emergency exit signs are in place. Or maybe a tenant has moved out and you need to do a final inspection. This then becomes complicated to explain to an external party exactly what needs to be done and in which building if you do not have updated drawings or property registers! Following up then also becomes manual as the contractor needs to report back to you by email or phone. At best, the reporting ends up on a sticky note!
